Description

An established and very successful B2B conference company that produces events across the UK and Europe, is looking for an experienced Event Co-ordinator to assist on the operational aspects of events worldwide. You'll be working on up to sixteen exciting business events throughout the calendar year, responsible for all the logistics: catering, staging, speaker accommodation, sponsor branding and the entire delegate experience at these events. You'll also be responsible for managing the budget, co-ordinating suppliers, handling client queries and troubleshooting on the day of the event to ensure that all runs smoothly.

This is a demanding role calling for high attention to detail but one you'll find very rewarding with clear career-development opportunities. The role includes:

  • Venue Selection, site checks, finalising menus, banquet orders, and audio-visual equipment
  • Negotiating hotel/venue contracts and sponsor/exhibitor liaison
  • Designing and finalising production items (show guides, handouts, conference/sponsor signage).
  • Making travel arrangements and facilitating hotel reservations.
  • Sourcing, negotiating and liaising with suppliers (audiovisual companies, designers, printers, security staff, and temporary staff).
  • Onsite set-up, registration, liaison with the hotel and other vendors during the conference and breakdown.
  • Maintaining budgets for your events - finding effective ways to reduce costs

What we're looking for:

  • One year's experience in an event based role preferably B2B, or an internship
  • Experience running several events simultaneously
  • IT literate - Microsoft office, Outlook
  • Ability to travel frequently for 2-5 days at any time (up to 4 times a year)
  • Educated to degree level or equivalent vocational training.
